Sponsorships:
Approach area businesses and request sponsorships for our lesson program and marching band scholarships for families who cannot pay their fair share. Request prizes for raffles at concerts and a new CEBB big fundraiser event in spring of 2026. Ensure sponsors are recognized at Band Events. Distribute and update a sponsorship letter.
Gaming Lead
Work with the Treasurer to complete annual paperwork to renew license
Recruit volunteers to be on license renewal
Complete paperwork for each fundraiser & monitor legalities
Complete training from Indiana Gaming Commission
Provide license, numbers, and signage as needed for any gaming fundraising
CEBB Fundraising Committee Members:
Committee led by the Vice President. Members can help lead individual fundraisers and help develop and run a new CEBB big fundraiser event in spring of 2026. Potential ideas: BBQ and Bingo, Music and Cook Off Contests, Murder Mystery, Trivia, etc.
Preconcert fundraising table:
Determine fundraising activities, set up, and run the table. Work with the Treasurer for the cash box. Any activity that would involve gaming would require a person on the gaming license and separate cash box exclusively for gaming funds.
Raise Right:
Coordinate & advertise established program, potentially including special events via Parent Square &/or Facebook
Work to grow program to help more families meet fair share goals
Offer opportunities for physical gift card ordering and pick up
Report monthly profits: at monthly meetings and directly to Secretary for documentation and Student Accounts / Treasurer for account accreditation
Be signatory on Raise Right designated CEBB bank account
Solo & Ensemble Committee Chairs

Work with East Director and TA to facilitate the event
Coordinate multiple sub-chairs in joint effort for this large event – sub-chairs have historically included Preview Night, Concessions, Hospitality, Volunteers, Facilities
Create or delegate SignUps for food and volunteers
Begin working on event as early as October
Preview Night Chair
Work with Director and TA to schedule Preview Night approximately 2 weeks prior to S&E
Work with Director to arrange for one to two judges
Send invitations to Middle School students and schedule times as they RSVP
Host Preview Night
Arrange for committee members if desired
Concessions
Create menu for concessions
Arrange for food truck if using
Inventory needed supplies from CEBB closet and direct S&E Chair as to the listing for needed items and food
Purchase additional food and supplies for concessions
Set up concessions the Friday night before
Coordinate with Treasurer concerning cashbox; conduct cashbox count before and after event
Arrange for committee members if desired
Hospitality
Set up food for judges – including simple breakfast, snacks, and lunch
Communicate with Director as to the number and cost of reimbursement
Inventory needed supplies from CEBB closet and direct S&E Chair as to the listing for needed items and food
Purchase additional food and supplies and KEEP receipts
Set up the Friday night before and arrive early the day of event
Volunteers
Create the work schedule for students – take into account performance times
Create volunteer schedules
Advertise for new volunteers
Compile volunteer folders
Work the volunteer desk during event to explain duties and ensure rooms are covered
Facilities
Coordinate with Director and TA the appropriate rooms and school areas required and reserved
Document room set ups prior to event and print copies for clean up
Update signage as needed
Complete Friday night set up and Saturday evening tear down including room set ups, signage, piano moving, & decorations
IT & Social Media Chair:
Web Page and CEBands email management: Maintain the website and our emails. Work with the treasurer to maintain email domain payments. Answer or forward questions sent to info@cebands.org to whom they apply.
Facebook page during marching season: Post information pertaining to marching band. Take photos at events to post if there is not a photographer. Answer or forward questions sent to the band on Facebook Messenger.
Facebook page in concert/jazz season: Post information pertaining to symphonic and jazz bands. Take photos at events to post if there is not a photographer. Answer or forward questions sent to the band on Facebook Messenger. Note: The band director will post concert information, results, etc.
Photographer(s):
Two seasons – Marching and Concert if needed
Marching Season chair receives official badge for games from director to be on field
Take photos of events and backstage when possible

Recognition:
Organize East Marching band senior night. Organize slide shows for display during concerts: Announcements, Sponsorship announcements, Senior photos, band photos, etc. Work with the Columbus East Director of Bands on the awards given at the concert in May. Arrange for senior tables, cookies, and lemonade at May Concert.
Equipment Management:
Manage booster owned trailer and gator insurance, repairs, and coordinate use with other organizations and Mr. Brookshire.
Concert Help:
Ticket Taker: The ticket taker sits at the table in front of the auditorium half an hour before the concert starts until doors close at the start of the event. They take tickets and donations, and keep a count of entries with Legacy Pass, East Students and Teachers. They provide access to the concert programs.
Uniform help before and after concerts: Help ensure uniforms are returned properly to the stands. Answer student questions. Find safety pins, etc. as needed.
Before Concert help: Starts half an hour before student call time and ends when students are ready for warm up.
After Concert help: Ends when uniforms are returned to the uniform room.
Stage Change Over: Assist in moving stands, chairs and music stands between the jazz band and concert bands. You will be told by the director what to move where when helping with the stage.
